Plan the work in the right order
Official decision periods start only when the relevant file is accepted. Preparation, appointments, document checks and card production add time.

Document checklist
Track your preparation in this browser. Final requirements depend on the route and filing authority.
Resolve the route before choosing a move date
The first split is between a right to reside based on nationality or family status and an application requiring specific authorization. For non-EU business owners, self-employment generally belongs to the professional-card framework unless exempt. For qualifying employment beyond 90 days, the employer ordinarily initiates the single-permit process. Forming a company does not replace either permission.
Choose the location of the actual activity before choosing the regional authority. Flanders, Brussels, Wallonia and the German-speaking Community have different competence and detailed requirements. A Flemish professional-card checklist is useful evidence for Flanders; it should not be presented as a national approval standard.
Create the tax file while the evidence is available
Fix the proposed residence-start date against the real home, family and wealth-management facts. Then inventory salary, business ownership, pensions, property, trusts, accounts and securities. A departure tax in the old country and the Belgian arrival-value rule can interact without using the same taxable event or payment date.
For financial assets, preserve the value on the first day of Belgian personal taxation as well as historical costs. For a founder, review foreign-company management before continuing to approve contracts and financing from Belgium. The first board meeting after arrival should not be the first time anyone considers the company’s residence.
Build the family file alongside the main application
Spouses, qualifying registered partners and minor children have defined family routes; adult children generally need the specific disability-based category under the ordinary third-country sponsor framework. A parent is not automatically included because the main applicant is an entrepreneur. Check sponsor status, housing, insurance, custody and legalised relationship evidence.
For applications during the 2025–2027 transition, the sponsor’s original authorization date can determine which financial rule applies. The old reference amount is €2,217.47 net monthly from 1 September 2026; the new reference is €2,456.97 from 1 July 2026 and adds 10 percentage points of the underlying GAMMI for each additional dependent. Below-reference cases require an individual needs assessment, not an automatic refusal. School plans should reflect these application realities.
Use one calendar for the first weeks
The single-permit guidance requires municipal registration within 8 working days of entry and an address check before the final card. A bank, employer and municipality may ask for different documents at different stages. Keep the approval, visa, passport and proof of address accessible rather than shipping originals with household goods.
Arrange health coverage for the transition and the appropriate ongoing Belgian system. For business activity, coordinate enterprise, payroll and VAT administration before trading or employing people. An address suitable for a residence registration is not automatically sufficient for every banking or business substance question.
The result should be a coherent move
The final plan should identify which actions happen before departure, which depend on an approval, and who owns each filing afterward. That includes renewals, family applications, the first Belgian return and continuing foreign obligations. A useful inquiry tells us the current country, planned activity, household and any fixed dates so the team can assess the right engagement.
