From preparation to completion
Stages are dependency-based, not promised approval durations. Authority queues, document defects and individual facts determine elapsed time.
01Map status and tax exposureBefore setting the move date
Review nationality, work, family, assets and retained foreign connections together. Decide which issues need a written local opinion before proceeding.
Documents & evidence
- Passports
- Residence history
- Company chart
- Asset acquisition ledger
- Assuming 183 days is the only tax test
- Treating company ownership as residence permission
02Prepare the entry and application fileBefore travel and before existing permission expires
Obtain route-specific entry documents, translations, insurance and employment/business evidence. Set up the permitted electronic-signature route for MOS.
Documents & evidence
- Visa/entry evidence
- Civil-status documents
- Qualifications or business records
- Filing through the wrong person’s MOS account
- Missing legalisation
03Secure a usable home and administrative identityOnce address and lawful stay are established
Review the tenancy, follow municipal address instructions and obtain/update PESEL where appropriate. Book required immigration identity/biometric steps.
Documents & evidence
- Lease/title evidence
- Identity documents
- Application receipt
- Confusing address registration with a permit
- Using one nationality’s deadline for another
04Activate work, health and bankingBefore work starts or money is routed
Confirm the legal work basis, coverage start date, payroll responsibility and bank onboarding. Keep separate personal/company files.
Documents & evidence
- Work authorisation basis
- Insurance confirmation
- Bank source-of-funds file
- Working before the permission supports it
- Assuming private clinic access is full insurance
05Close the first-year reporting gapsDuring the first year and before each filing deadline
Reconcile arrival-year income, foreign assets, company decisions and any relief election. Track permit expiry and family deadlines independently.
Documents & evidence
- Travel log
- Foreign tax statements
- Payroll and brokerage records
- Missing an incoming-regime election
- Losing original investment costs
Decide what will move—and what will stay
Write down the intended arrival date for each family member, the homes you will retain, the work you will perform in Poland and the decisions you will continue taking for foreign companies. A family can arrive in stages, and a company may remain abroad while its founder’s management activity moves. Those facts can create different personal, corporate and payroll start dates.
Prepare the departure analysis in your current country alongside the Polish arrival analysis. Assets that leave one tax system with an exit valuation do not automatically receive a matching basis in the other. Bring original investment costs, employment-equity history and company records before access to former advisers or platforms becomes harder.
Choose the legal route before the housing commitment
EU/EEA/Swiss citizens should document the basis for a longer stay and complete the appropriate residence registration. For third-country nationals, check entry permission and the intended residence purpose separately. Visa-free admission does not by itself establish a right to carry out every form of work or business. A business permit requires a qualifying activity; the Blue Card requires qualifying employment and remuneration.
Since 27 April 2026 the MOS portal is the submission channel for temporary, permanent and EU-long-term residence applications in scope. Electronic preparation is not complete until the application is signed correctly and the official receipt is obtained. Biometrics and presentation of identity documents remain separate steps. The entrepreneur procedure says the applicant files while lawfully in Poland, not from abroad through a representative’s account.
Build one consistent family document file
Prepare valid passports, civil-status certificates, previous residence permits and the route-specific evidence. Names, dates and transliteration should match across passports, company records and translations. Decide which documents require apostille/legalisation and sworn Polish translation for the particular procedure; an ordinary English translation may not satisfy it.
For a child, include parentage, custody and travel/relocation consent where relevant. For a spouse or partner, determine the recognition route before assuming a dependent application is available. Under the national family route, a sponsor’s exact permit and residence history matter; EU free-movement families use a different framework. Adult dependency should never be treated as equivalent to a minor-child entitlement.
Housing, address registration and PESEL
Before signing a long lease, confirm the landlord’s authority, the exact rent and administrative charges, utility settlement, deposit rules, termination rights and permission to use the address for the required registration. Keep a signed handover inventory and meter readings. These are practical contract-review points; the form of lease can change the legal consequences.
Address registration—meldunek—is distinct from the immigration residence registration or permit. A PESEL can be issued through qualifying address registration, or separately where a legal basis requires the number. Neither a PESEL nor a registered address proves that all immigration conditions are met or decides tax residence. Use the current category-specific municipal instructions rather than copying another nationality’s deadline.
Healthcare and schooling before the first emergency
Identify whether health coverage will arise from employment, another insured family member, coordinated foreign coverage or an eligible voluntary NFZ arrangement. Confirm the start date and documentation rather than assuming that holding a residence card enrols you. Private outpatient subscriptions and comprehensive insurance are different products; check what covers hospital treatment and existing conditions.
For children, contact the municipality and proposed school with previous reports, age, language and support needs before committing to a district. Confirm the admissions process, availability of language support and any translations directly. Budget for the school journey and the adults’ commutes together. This guide does not promise a place in a particular school or quote unverified private-school fees.
Make the financial transition auditable
Keep a source-of-funds file for major incoming transfers: sale agreements, dividend resolutions, salary statements and the bank trail that connects them. Obtain the selected bank’s own document checklist for your nationality and residence status. A company account may require a separate beneficial-owner and commercial-activity review even if the founder already has a personal account.
Update tax-residence self-certifications when the facts change, and establish who will keep Polish books and calculate any local payroll. Retain access to old accounts long enough to receive final tax documents and refunds. A practical migration should leave both a functioning payment system and a clear explanation of how the money was earned.
