Choose the account for the real activity

A personal household account, an operating-company account and a payment processor perform different functions. Start with expected countries, currencies, monthly flows, payment methods and account users. A founder handling company revenue through a personal account creates an avoidable mismatch between the stated purpose and the actual transactions.

We can help assemble the banking brief and evidence. Account approval, products and ongoing acceptance remain the institution’s decision; residence permission or incorporation does not guarantee onboarding.

Prepare a file the institution can assess

For a person, prepare current identity, actual residential address, tax residences and numbers, occupation and evidence explaining the source of funds. For a company, add registry and constitutional records, owners/controllers, authorized signatories, activities, customer/supplier geography and contracts supporting anticipated flows. The provider may request more or different documents.

Keep evidence coherent across the application, company website, contracts and tax records. A large transfer from an asset sale needs the sale and ownership history; regular commercial receipts need an operating explanation. These are preparation prompts, not a universal documentary list imposed by every Dutch bank.

Companies and payment institutions need a separate check

DNB’s guidance explains that most firms and organizations are eligible, while financial firms and government bodies are among the exceptions. A separate legal entity such as a BV can have its own eligible limit. The exact depositor and product must be identified.

Do not assume a payment or electronic-money balance is an eligible bank deposit. Review the provider’s regulatory identity and protection disclosures. Match that account’s role to payroll, tax payments and operating reserves, and keep a practical contingency if onboarding or access is interrupted.

Connect account setup to the move

Prepare the account process alongside the BSN/address and company/payroll work, allowing for follow-up requests. Keep records of the institution’s conditions, users and payment limits. Update tax-residence and company-control information when the facts change.

For an international structure, compare the Dutch account’s purpose with any accounts elsewhere. The aim is an operational flow supported by contracts and records, rather than simply collecting accounts in several countries.
