Five stages of preparing a Japan account

The sequence shows dependencies and statutory milestones. Evidence preparation, appointments and authority decisions vary; it is not a promised end-to-end processing time.

01Specify the product and applicantBefore choosing a provider+

Separate personal and company use, residence category, currencies and payment functions.

Documents & evidence

  • Payment-needs schedule
  • Applicant/status details
Common complications
  • Assuming every product accepts every foreign applicant

02Confirm institution-specific requirementsBefore sending funds or relying on an opening date+

Check identity, address, remaining status, access and company requirements directly.

Documents & evidence

  • Provider checklist
  • Address and phone plan
Common complications
  • Treating immigration approval as bank approval

03Prepare consistent evidenceBefore application+

Connect identity, ownership, activity, tax residence and the source of significant funds.

Documents & evidence

  • Identity/civil records
  • Ownership and authority
  • Funds trail
  • Tax self-certification
Common complications
  • Submitting unexplained inconsistent names or transactions

04Complete review and test the permitted servicesDuring institution review and after acceptance+

Answer requests, verify limits and authentication, and make controlled initial payments.

Documents & evidence

  • Requested supplementary evidence
  • Authorisation controls
Common complications
  • Promising suppliers a fixed opening date

05Maintain and update the accountAt relevant changes and periodic bank reviews+

Update residence and ownership, retain records and plan any departure restrictions.

Documents & evidence

  • Renewed status/address records
  • Updated business facts
Common complications
  • Leaving the bank with an obsolete status or selling account access

Choose the account around the payments you actually need

A personal account for rent and salary, an operating company account and an overseas-currency investment account serve different purposes. Before selecting a bank, list domestic transfers, automatic utility payments, salary payments, cards, international wires, currencies and expected monthly activity. Confirm the services actually available to the applicant’s residence status and product.

Foreign residents are not one uniform onboarding category. Banks examine identity, address, immigration status, occupation and account purpose, and may request further evidence. A short-stay visitor or digital nomad without a residence card should not assume access to an ordinary resident product. Equally, a blanket claim that every foreign applicant must wait six months would be misleading: product and foreign-exchange classifications require institution-specific confirmation.

Allow for the practical sequence between address registration, identification, a working telephone number and bank authentication. Arrange a lawful way to meet initial housing and living costs while an application is assessed. No provider acceptance or approval deadline is guaranteed by this guide.

Make the identity and funding story easy to verify

Use consistent names and addresses across the passport, residence card, municipal record, employment documents and bank application. Explain transliteration, multiple surnames or an address change instead of leaving conflicting records. The bank may need to verify the remaining immigration period and may request updates when the card is renewed.

For significant incoming funds, preserve the path from their economic origin to the remitting account. Employment income, a business distribution, a property sale, an investment sale, inheritance and a shareholder loan call for different evidence. A screenshot showing a current balance does not establish how the money was earned or whether the sender is entitled to transfer it.

Where a company receives capital, document the shareholder, subscription or loan terms, payment route and accounting treatment. Explain related parties and expected counterparties before activity begins. Avoid using a personal account as an improvised substitute for a business account where the product terms or ownership of funds do not permit that use.

Application layerTypical evidence to prepareWhy it matters

Income and purposeEmployment or business evidence and realistic transaction expectationsExplain how the account will be used
Source of fundsSale/loan/distribution documents, tax records where relevant and linked statementsConnect an incoming balance to its underlying transaction
Company ownership and authorityCompany registry/constitutional records, beneficial ownership, directors/signatories and authorityIdentify who owns, controls and may operate the account
Tax residenceRequired self-certification, all relevant residence jurisdictions and tax identifiersFulfil account-reporting and due-diligence requirements

A registered company is not a completed banking application

A company bank will assess the actual business, ownership, decision-makers and expected flows. Prepare an understandable explanation of products or services, customers, supplier countries, premises, staff and any necessary licences. Newly formed businesses can use genuine contracts, documented plans and capital evidence; fabricated invoices or artificial trading history undermine the application.

For Business Manager applicants, immigration preparation and banking need coordinated timing. The post-October-2025 capital, staffing, office and expertise conditions do not oblige a bank to open an account. Likewise, bank acceptance does not establish that the company satisfies immigration, tax substance or consumption-tax rules.

Confirm internet-banking language, authorisation controls, payment limits, bulk salary functions, international transfer access and what happens if a representative moves abroad. A company with multiple approvers should have an operational authority plan, not share one person’s credentials. Keep a contingency for key-person absence that is consistent with the bank’s procedures.

JPY10 million is a defined deposit-protection limit

For eligible general deposits, Japan’s deposit-insurance system protects aggregate principal up to JPY10 million plus the applicable interest per depositor per financial institution. Several accounts or branches at the same institution do not each create a fresh ordinary limit. Amounts above the protected amount depend on the failed institution’s recovery and may not be repaid in full.

Qualifying payment-and-settlement deposits receive full protection when the statutory conditions are met, including the relevant non-interest-bearing, payable-on-demand and settlement functions. A product called a current or everyday account should be checked against the actual insured category. Foreign-currency deposits and investment products must not be assumed to have the same deposit protection as eligible yen deposits.

A remittance service, electronic wallet or investment account is not automatically a bank deposit. Identify the licensed entity, legal product and safeguarding or compensation framework before holding operating reserves there. Deposit protection addresses an institution failure; it does not reverse every scam, investment loss, currency loss or authorised transfer.

A bank transfer and taxable income are separate records

From 1 January 2026, the amended CRS framework applies to the account self-certification and reporting described by the NTA. An account holder must identify the relevant jurisdictions of tax residence and required identifiers. Reporting institutions check the self-certification against onboarding information; relevant foreign-resident account information can be reported for automatic exchange.

A Japanese address alone does not prove that Japan is the only tax residence. Update the institution when the relevant circumstances change and separately meet personal tax-return and asset-reporting obligations. Automatic exchange does not replace a return, and an account that is not reportable under one mechanism is not thereby tax-exempt.

For a non-permanent tax resident, moving funds into Japan can affect the annual foreign-income remittance calculation. Keep the source and timing analysis outside the bank’s transaction description. A transfer labelled savings, a foreign card or an overseas account does not settle the Japanese income-tax result.

Plan for renewals, a move and a problem with a payment

Keep address, residence-card validity, tax residence, beneficial ownership and business activity current. Retain bank requests and the documents supplied. If an account is restricted while information is checked, respond through the institution’s verified channels; do not create contradictory explanations through several applications.

Before leaving Japan, ask which products and online functions can continue for a non-resident and which must be changed or closed. Resolve final salary, tax and utility debits before dismantling the account and telephone access. The FSA guidance warns against selling or transferring account access to others.

Raise a disputed payment or service issue through the bank’s complaint process with dates, references and copies of communications. The FSA’s foreign-resident banking resources identify official support information; the appropriate dispute route depends on the institution and product. We can help prepare a coherent application and coordinate the banking element of a wider move, while the bank retains its own onboarding decision.
